Qualifications:

  • 2+ years of experience as an operations administrator or similar position (EA / VA or personal assistant)
  • 1 year MINIMUM experience working in a supportive operations or admin position at a technology startup (ideally in a remote position)
  • Bachelor’s degree in business administration, facility management, or related field OR equivalent experience in EA, operations, or general administrative support positions
  • Strong organizational and administrative skills
  • Excellent communication skills, both written and verbal
  • Proficiency in Microsoft Office, ADP, and data management software
  • Experience using project / task management systems (Trello, JIRA, Basecamp)
  • Detail-oriented with strong analytical and problem-solving skills
  • Strong ability to multitask and perform well under pressure

COVID-19 Update: BadVR is based in Santa Monica, CA, but we have transitioned to a fully remote workplace model during this time. This is a fully remote, work-from-home position with the expectation of Pacific Standard Time (PST) time zone M-F, 9-5 availability.


Your Role At BadVR:

BadVR is looking for an Operations Administrator to support the daily operations of our company and to offer administrative support to our executive team. The responsibilities of this position include handling scheduling, answering emails, maintaining financial and client records, handling software maintenance issues and providing administrative support as needed.


The ideal candidate will be able to oversee and ensure smooth and efficient daily operations and will be highly organized, detail-oriented, and will thrive under pressure. They will be driven by a passion for service and compliance, and will support and uphold all current company operations, while being creative enough to offer constructive feedback to the team about improving and streamlining current operations as our team scales up and grows. Reporting directly to our CEO, the Operations Administrator will be central to our company’s smooth operations and daily functioning.


You must be a US citizen, located within US territories, to qualify due to the requirements of US Government contracts.


Your Role and Responsibilities:

  • Answering phones and responding to requests and inquiries
  • Managing and updating company databases
  • Acting as the administrative contact point for all company operations and HR software tools (such as ADP)
  • Organizing and managing all company information repositories (Sharepoint, internal Wikis, etc)
  • Working closely with the finance and operations team to ensure compliance with all current and future contracts
  • Maintaining financial, employee, and client records
  • Drafting and mailing customer correspondence and newsletters
  • Managing the schedule for the executive team, including organizing meetings, sending out calendar invites, and joining in as notetaker
  • Organizing events, scheduling meetings, and making travel arrangements for the executive team
  • Managing the maintenance of company equipment
  • Managing the inventory and control of all company assets
  • Providing administrative support to other departments or projects as needed
  • Performing other administrative duties as assigned


Bonus Points:

  • A deep passion for immersive (AR/VR/XR) products
  • Prior experience with data-related products and / or services
  • Previous work experience at smaller, remote-based software startups
