Project Coordinator, Operations
Our client's Reality Labs (FRL) Research Team brings together a world-class team of researchers, developers, and engineers to create the future of virtual and augmented reality, which together will become as universal and essential as smartphones and personal computers are today. Just as personal computers have done over the past 45 years, AR and VR will ultimately change everything about how we work, play, and connect. We are developing all the technologies needed to enable breakthrough AR glasses and VR headsets, including optics and displays, computer vision, audio, graphics, brain-computer interfaces, haptic interaction, eye/hand/face/body tracking, perception science, and true telepresence. In particular, the FRL Research Audio team is focused on two goals; creating virtual sounds that are perceptually indistinguishable from reality, and redefining human hearing.
They are looking for an operations project coordinator to support the overall team, maintain teamwide information repositories, and provide project management support for ad hoc projects.
Duties:
Information management
- Ensure stable, easy to use information structure (quip, wiki, g-drive, databases, research publication and storage)
- Ensure internal team information is accurate and up-to-date, e.g. team roster, organizational charts
- Manage team resources, e.g engineering resource centers, documents addressing frequently asked questions
- Manage forums for dissemination of information e.g. learning forums, communications from our director, collaboration groups
- Point of contact for information to the team from external sources such as other teams, outside vendors, or facilities management
Team support
- Guide the team towards correctly using the information repository structure
- Coordinate department meeting agenda
- Facilitate team-wide community events
- Provide onboarding support for new team members
- Coordinate forums for research presentations and guest speakers
- Run weekly operations team meeting including managing agenda, facilitating discussions and capturing action items
Project support
- Project management for ad hoc projects e.g. logistics for returning to the office, organize prototype build process, external vendor to build visualization tools
Technical papers
- Make sure all team members technical reports are documented and published to appropriate forum.

- Assist researchers in locating and utilizing materials relevant to their research
- Develop annotated bibliographies of known seminal works, researching and documenting relationships between published papers and their authors and tracing sources and influences of published works
Qualifications:
- BA in English or BA/BS in Scientific field
- Work experience in project management with a demonstrated track record of successful project completion
- Work experience in managing information and technical papers; information architecture, researching and cataloging research papers , writing or editing technical papers,
- Proven track record in creating and managing information repositories on MS sharepoint or wiki or equivalent
- Ability to organize team wide information across several mediums e.g. sharepoint or wiki, google drive, collaboration tools
- Proven interpersonal, and communication skills, with strong attention to detail
- Must be proactive, with proven ability to execute on multiple tasks simultaneously
- Ability to collaborate cross-functionally with team members and individuals throughout the broader organization
- Strong organizational and time management skills
- Experience working in a fast-paced research and/or product development environment
