About This Position

We are seeking a full time Office Administrator to support our engineering office in San Luis Obispo (SLO). You will regularly interface with the multi-disciplinary engineering and management teams, as well as customers, vendors, and candidates. You will assist the team with HR coordination, purchasing, maintaining a presentable office space, shipping/receiving, and document management. We are a fast-paced early-stage organization, and you will have opportunity to work on special projects in addition to your daily duties as the SLO Office Administrator.

Please note this is an onsite position, there is no option for remote or hybrid work.

Key Responsibilities

  • Serve as the company's first point of contact; greeting office guests, answering incoming office calls, manage general email inquiries, etc.
  • Manage daily operational projects that support a work environment where employees can thrive. This includes managing space planning, furniture, tidiness, vendor coordination, and conference room appearance / functionality.
  • Support office culture by organizing and planning company events, happy hours, lunches, holiday parties, and conference travel
  • Support the engineering team in making equipment purchases, communicating with vendors, and coordinating shipping and returns of parts
  • Schedule meetings for staff
  • Assisting with new employee onboarding
  • Assist generating, updating, and reviewing HR policies
  • Make travel arrangements for candidates
  • Assist in generating work instructions for new office policies and practices
  • Collect invoices, packing slips, billing, and NDAs for vendors and guests
  • Assist managing office security by ensuring guests sign in and out
  • Assist in keeping office clean and organized
  • Stock and reorder office supplies / kitchen snacks & drinks
  • Test functionality of equipment and administer equipment demos
  • Assist in reviewing engineering teams expenses and updating engineering budget

Required Qualifications

  • 2+ years of relevant experience
  • High attention to detail and highly organized
  • Work management and prioritization skills
  • Excellent oral, written, and verbal communication skills
  • Strong customer service skills with a friendly, positive attitude
  • Willingness to offer assistance as needed and comfortable wearing multiple hats
  • Humble, coachable, eager to learn and grow from feedback
  • Resourceful, adaptable, able to find solutions and thrive in a rapidly evolving and fast-paced environment with minimal supervision
  • Must be able to touch-type at least 30 words per minute
  • Proficient with Microsoft office products, Windows 10, various online software packages including cloud storage and shipping services
  • Must be fluent in English
  • Ability to continuously stand or walk
  • Ability to bend, squat, climb stairs, and lift 40 pounds
  • Reliable transportation

Physical Requirements:

  • Be able to spend approximately six hours a day at a keyboard
  • Have enough sensation in both hands to feel the output of HaptX Gloves
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to carry up to 40 pounds at times.
